1. Application and scope

These Beta Program Terms apply to participation in the GameDataCore Beta and any other Beta Program we designate (each a "Beta"). They supplement the GameDataCore Terms of Service (the "Terms"); capitalised terms have the meanings given there. Where these Beta Program Terms conflict with the Terms in respect of a Beta, these Beta Program Terms prevail. Participation is by application and acceptance, is cohort-based, and may be capacity-limited. By participating in a Beta you confirm that you are acting on behalf of a business and not as a consumer.

2. Nature of Beta outputs

The Platform and its outputs during a Beta are pre-release and under active development. Beta outputs are directional decision support: they exist to inform your professional judgement, not to replace it. You agree not to treat Beta outputs as the sole basis for any commercial, creative, staffing or investment decision. Disagreement with, or dissatisfaction concerning, an output does not by itself establish that the Platform has failed or that an output is materially inaccurate.

Analytical features may be added, modified, withdrawn or re-run during the Beta as our models and quality standards evolve. We will tell the cohort when we materially revise the models or analyses in use.

3. Scope of the GameDataCore Beta

Language. The Beta supports multilingual feedback. Labelling accuracy for non-English content is not guaranteed and may vary by language; we will communicate known limitations where practical.

Sources. Data sources ingested during the Beta are those we document to the cohort. Additional sources arrive only when the necessary platform terms and data-protection arrangements are in place.

Experimental features. Features that we label "Experimental" in-product are provided for evaluation only: they may be less accurate, may be modified or removed without notice, and their credit metering may be revised.

3A. Beta support

As a closed Beta participant you have direct access to the GameDataCore team for onboarding, questions and feedback through the support channels we set up for your cohort (for example, a shared Slack Connect or Discord channel). A support email will be added once the group-based mailbox is live; until then, use your cohort's designated support channel. We aim to respond to support requests between 10:00 and 16:00 UK time, Monday to Friday, excluding UK public holidays, and usually within four working hours. These are targets, not guaranteed response or resolution times, and Beta support does not include an uptime or availability commitment. We may adjust support hours and channels during the Beta on notice to the cohort.

4. Beta plan and fees

The GameDataCore Beta is a paid Beta. Beta pricing is as published on the Site at the time you join: a fixed fee of £250 per seat, paid in advance, for a Beta term of three months from your start date. Each seat includes 3,000 Automation Credits per month. All fees are exclusive of VAT and any applicable taxes.

5. Seats and changes during the Beta

Seats are committed for the full three-month Beta term. You may remove a user's access to a seat at any time, but removing a user, reducing use of a seat or leaving a seat unused does not reduce the fee already paid. Seat reductions take effect from the first renewal after the Beta term. You may add seats during the term at the Beta price. Adding seats does not restart or extend the workspace's existing Beta term. If a seat is added during the final month, we may, at our discretion, prorate its fee to the end of that term; otherwise the full Beta seat fee applies.

If access to a Beta was provided without charge, removing a seat does not give rise to a cash refund or account credit.

6. Credit mechanics

Monthly Credits are allocated per paid seat and pooled at workspace level, so any user in your workspace may consume them. Unused monthly Credits expire at the end of each monthly period and do not roll over. If a paid seat is removed at a renewal, the Credits attached to that seat are no longer allocated from that date. Credits are charged on successful completion only; operations that fail on our side are not billed.

7. Beta credit bonus

Workspaces that start the Beta with four or more paid seats receive a one-time bonus of 10,000 Credits in total. Bonus Credits are added at the start of the Beta term, remain available for the full Beta term, have no cash value, are non-refundable, and are not restored or increased if seats change during the term. Seats added after the start of the term do not earn a further bonus unless we agree otherwise in writing. Unused bonus Credits expire at the end of the Beta term. We may provide additional discretionary Credits for substantial feedback, agreed backfill work or another reason we confirm in writing.

8. Additional Credits

You may purchase additional Credit packs at any time during the Beta term. Credit packs are separate products with their own pricing, shown in-product, and are not part of the Beta seat fee or any cohort discount. Purchased Credits are non-refundable except where required by law, are consumed only on successful completion of an operation, and carry over into any continuing Subscription after the Beta term.

9. Platform failures, Credits and refunds

Where a verified Platform failure prevents GameDataCore from processing submitted data or providing the labels or outputs described in the applicable service description, we will normally re-run the affected analysis or restore the Credits consumed. Where re-running the analysis or restoring Credits would not provide an adequate remedy, we may provide an appropriate service credit or a proportionate refund reflecting the materially affected service and any Credits or services already supplied successfully. This remedy does not apply to customer configuration errors, failures outside our reasonable control, a change of mind, or the removal or non-use of a seat. Nothing in this clause limits a remedy where we verify that an output failed to meet the applicable service description or any quality standard we have communicated to you in writing.

10. Requests and goodwill remedies

Billing, Credit and refund requests must be submitted through your designated support channel, or another contact method published on the Site, with the relevant account, invoice and service details. We may offer additional Credits, account adjustments or refunds as a goodwill remedy at our discretion. Providing a goodwill remedy in one case does not create an entitlement or obligation in another case. Nothing in these Beta Program Terms excludes or limits any right, remedy or liability that cannot lawfully be excluded or limited.

11. End of Beta term and continuation

At the end of your three-month Beta term, your Subscription continues automatically on a rolling monthly basis at our then-current standard price, unless you cancel before the renewal date. Our current standard price is £250 per seat per month and includes 3,000 credits per seat.

At least 30 days before your renewal date we will email you the standard price that will apply, a cohort discount code, and a link to cancel. Applying the discount code before the renewal date confirms your continuation at the discounted price for the period stated in that email. We will send a further reminder at least 7 days before the renewal date. We will not charge you at a new price without this notice.

You may cancel at any time before the renewal date from within the Platform, with no further charge. Seat reductions take effect from the renewal date.

12. Pricing and plans

We may change our standard pricing, credit price card and available plans or tiers. Changes take effect from your next billing period after at least 30 days' notice and do not affect fees already paid for the current Beta term. If we introduce new plans, we will tell you which applies to you and how to switch.

13. Payment processing

Payments are processed through Stripe. We remain responsible for correcting billing errors caused by us. Processing times, card declines and delays caused by Stripe or your card issuer or bank may be outside our reasonable control; we will help you resolve them. If a payment fails we may suspend access until it is received, as set out in Section 6.2 of the Terms.

14. Your data and feedback

User Data and Platform Outputs are handled under Sections 8 and 9 of the Terms and our Privacy Policy, including Section 8.4 (aggregated and anonymised data). You may request an export of your User Data at any time during the Beta, not only at termination.

15. Term, suspension and discontinuation

A Beta runs for the period communicated to the cohort and may be suspended, extended or discontinued at our discretion. We will give reasonable notice of discontinuation and a transition path (export and, where offered, migration to a standard Subscription). If we discontinue a paid Beta before the end of a prepaid term for reasons unrelated to your breach, we will provide a proportionate refund or equivalent service credit for the unused portion. We may remove a participant whose use breaches the Terms or materially disrupts the cohort.

16. Liability

Sections 13 (Disclaimers), 14 (Limitation of liability) and 15 (Indemnity) of the Terms apply in full to Beta participation. Nothing in these Beta Program Terms limits liability that cannot lawfully be limited.
